What this question tests
Customer empathy and stakeholder management: whether the candidate can navigate a real gap between what customers want and what is feasible.
How to approach it
- Describe a specific situation where customer expectations exceeded what the team could deliver.
- Explain how you understood the root of the expectation, whether from marketing promises or unclear communication.
- Describe how you communicated the gap honestly rather than overpromising further.
- Explain the compromise or alternative you offered to still meet the underlying need.
- State the outcome and how it affected the customer relationship.
What a strong answer includes
- Uses a specific, real situation with a clear expectation gap, not a hypothetical.
- Shows honest communication of constraints rather than overpromising to smooth things over.
- Offers a genuine alternative that addressed the underlying need, not just an apology.
Common mistakes
- Describes only placating the customer with no real resolution to the underlying need.
- Blames the customer for unreasonable expectations without examining the company's own role.
Likely follow-up questions
- How do you prevent this expectation gap from happening again?
- How do you say no to a customer while keeping their trust?
- How do you balance one vocal customer against the broader user base's needs?
